The Challenge

Previously, all employee data was managed on paper, which took much time and effort. "If employees had to provide signatures within a certain time frame, for example, then HR had to repeatedly contact, remind and reprimand employees in case of any doubt," recalls Stefan Schröder. "This was not only time-consuming but stressful too." The hope was that by introducing a system with a higher level of process automation, this would soon be a thing of the past.

Digital and automated processes were also supposed to streamline the complex HR process of onboarding. HR had to inform employees about deadlines through regular manual contact. Manual processes often made deadlines difficult to meet because staff had to account for shipping time of several days. The human resources department had to input all steps and documents manually.

The Solution

UKG Document Manager with integrated process automation offers the required functionalities, supporting the team by recording all events in an employee's working life efficiently and, to a large extent, fully automatically. Furthermore, payslips and additional staff-related documents can be sent automatically and digitally to the employee's electronic UKG Employee Vault.

All staff-related documents are automatically saved in the personnel file. This makes it easier to find documents and increases access speed. Automated expiry dates significantly decrease the amount of "legacy records" in the files.

At the onboarding stage, the onboarding process is available as soon as the contract has been drawn up, the company interview has taken place, and the e-signature has been provided. The signed contract is then automatically saved in the digital personnel file.
