Our Commitment to Responsibility

At UKG, we believe in harnessing the power of artificial intelligence (AI) to create a positive impact. Our approach is grounded in improving lives and making information accessible. We understand that AI offers tremendous potential to enhance the working experience by helping people make quicker, better-informed business decisions, improving operations, and using data to deliver better outcomes, including becoming more inclusive and empowering. AI also raises complex and evolving questions that are being actively debated and discussed in real time, which is why we remain committed to the responsible, ethical and fair use of AI.

Principles

We prioritise responsible AI development. Our core principles—our Code of Conduct, values and commitments, fairness and inclusiveness, transparency and interpretability, privacy and security, and reliability and safety—shape every decision. By embedding these considerations from the outset, we ensure that AI benefits our customers while minimising risks. Development

UKG technology, built on 30 years of insights from employees that set the standard for what makes a great workplace, provides quick, practical advice to identify and correct variances in employee demographics, pay, promotions and overtime. Plus, our AI-powered solutions enable HR leaders and people managers to gauge their leadership effectiveness and make improvements through research and videos that explain how to create a high-trust work environment. Our Commitment to Protecting Data

We are committed to employing AI ethically, honouring individual rights, and nurturing trust. Our goal is to contribute to a brighter future for our customers, employees and society at large. As part of this commitment, we use policies, practices and protocols designed to protect and manage the collection, retention and use of sensitive, confidential and personally identifiable data. Key Practices

Applying Security Processes

At UKG, we use Google Cloud's Vertex AI to underpin our AI-powered solutions. Vertex AI's security protocols are designed to defend against unauthorised access and potential data breaches by employing stringent technical and organisational measures to protect data and ensure solution reliability.

UKG implements an automated data transformation pipeline that generates de-identified replicas of your data. We use Google’s Data Loss Prevention (DLP) tools to apply deidentification techniques such as redaction, masking and tokenisation to user requests and LLM responses. Google’s DLP inspects data for sensitive information using a wide array of built-in classifiers and we also ensure that data used for telemetry and performance is adequately protected. Additionally, all data and models are contained within the Virtual Private Cloud (VPC) of our Google Cloud Platform (GCP) projects.

Performance Monitoring

Per AI best practices, UKG tests and monitors its models for accuracy, robustness, and cyber security. UKG may collect telemetry data, which may include usage statistics and a user's information, such as their mobile number, email address and IP address, to ensure the model operates accordingly.

Transparency

To address our advances in AI, we have enhanced our disclosures on how we use data in our DPA. UKG may process personal data for business operations incidental to providing its services to customers, such as billing and account management, internal reporting and business modelling, product strategy, and enhancing its customers' experiences. UKG’s processing may include creating aggregated statistical, non-personal data from data containing pseudonymised identifiers (such as usage logs containing unique, pseudonymised identifiers) to calculate statistics related to customer data and to deidentify customer data to enhance and create new functionalities

UKG applies principles of data minimisation and confidentiality. UKG is committed to not processing Customer Data or Personal Data: (a) for user profiling, (b) for advertising or similar commercial purposes, or (d) to sell or share Personal Data.

 

Our Path Forward

Guiding AI towards fairness and transparency remains our priority as the technology landscape continues to evolve. Our ongoing efforts focus on responsible AI usage, with an eye toward innovative applications that benefit everyone.

Governance and Training

AI models must be trained in order to perform accurately. Through training, an AI model learns to recognise patterns and make predictions. UKG may use the data it processes as a data controller, as described in the UKG Privacy Notice. UKG has implemented technical and organisational data protection measures to help minimise the privacy impact to individuals when we train our AI models, which includes aggregating or deidentifying the data we use. We intentionally design our systems with functionality to avoid training models using personal information that we collect through our services, unless we have customer consent to do so. UKG is committed to developing our services that involve AI technology in accordance with UKG’s Commitment to Responsible and Ethical Use of Artificial Intelligence. Our Commitment demonstrates our proactive approach to staying at the forefront of ethical and responsible AI deployment.
